A system for a private practice

Bookings, notes only you can read, and questionnaires you send as a link and get back as a read-out instead of a photograph of a paper form.

Sound familiar?

What usually hurts

  • Bookings live in three chats and one head
  • Notes are in a notebook that must not be lost or seen
  • Questionnaires come back as photographs and are scored by hand
  • A client stops coming and it is noticed a month later
How we solve it

Three steps to launch

  1. 1
We put booking in one place

Your calendar, your rules on notice and cancellation. The client picks a slot themselves and gets a reminder.

  2. 2
    We move notes in

Private by default, structured enough to find things later. Nothing is shared with anyone by accident, because nothing is shared by default.

  3. 3
    We turn on questionnaires

Built from scales and items, sent as a link, returned scored — with an honest note on how far the result can be trusted.

What it is made of

Not a bot and not one program

The system is assembled from platform modules for your business specifically. Below is a typical set: we drop what you don't need and build what is missing.

  • Booking into your own calendar, with your own rules
  • Client notes, private by default
  • Questionnaires built from scales and items
  • A link to the client, a read-out back to you
  • Payment and package tracking
  • Reminders that reduce quiet no-shows
Not just words

See how it works

The back office for this niche is open from a link. It counts for real: do something and you will see the consequence.

Cost

What this costs

A range, not an exact price: the final number depends on how much has to be carried over from how you work today.

from $1,600 to set up · from $140 a month

After that comes support at one of three levels. We will go through it on the first call, with no obligation.

Questions

What people ask most

Is this confidential enough for therapy notes?

Notes are private to you and the storage arrangement is agreed before we start. If your professional body has specific requirements, bring them — we would rather build to them than around them.

I use my own questionnaires.

Then we build them: scales, items, scoring. What we will not do is present a score as more certain than the instrument allows.

I have around fifteen clients. Is that too few for this?

That is the size where it pays for itself in attention rather than money — no double bookings, no forgotten follow-ups, no notebook to guard.
